Administrative Assistant, U.S. Department of Justice, U.S. Attorney’s Office in Oxford, MS

Location: Oxford, MS

Schedule: Monday-Friday 8am-5pm

Job Description: Will perform a variety of administrative tasks, including special assignments of a one-time nature or recurring nature for the supervisor; daily the candidate will initiate files, and track personnel transactions including time and attendance and travel for the district; will ensure the transactions are correct; will have daily contact with all levels of staff and management to ensure payroll records and attendance are properly entered into internal systems; will type and prepare policies, procedures, and correspondence for the administrative division; will answer, screen, and route telephone calls in the Receptionist absence; will along with preparing incoming/outgoing mail and electronic court filings for distributions; the candidate will be asked to assist with other administrative tasks as a support person in the district; the contractor works in an office setting; some walking, standing, bending and carrying of small office items is required; there may be a need for the candidate to work overtime depending on work and case load; candidate must have the ability to use MS Excel, MS Outlook, MS Access or other data bases, and Adobe Acrobat Professional, and have the ability to learn internal computer programs; communication skills are extremely important; must work and interact professionally and effectively with all levels of staff; must have the ability to meet established deadlines and work as a team player in a professional office; must be able to have meetings and be able to deal with people in a courteous and tactful manner; must demonstrate the ability to review a wide variety of documents, both legal and non-legal documents, including Motions and briefs, and a variety of legal correspondence

Job Requirements: High School Graduate. Must have knowledge of Microsoft office products. Must be organized and detail oriented. Previous work history as a Legal Assistant preferred. Knowledge of legal terminology, civil procedure, bankruptcy, social security disability, and/or the federal court’s electronic filing system would be beneficial
